Restrictions amendment from November 2010 annual meeting

Annual Dues Procedures
Note that dues are like mortgages in that they are due each year regardless of timing of billing statements, or even in the absence of a biling statement. However, the board tries to adhere to the following procedure to assist homeowners in paying their annual HOA obligation:
Current annual dues for 2012 = $150
1. Dues statements are sent out by the end of January each year with expected due date 30 days later.
2. Board will wait a short period of time following due date, then issue reminder letters.
3. Lots in the subdivision which are still not paid will receive a late notice with the monthly late fee of $25 added. Board aims to send these late notices out by the end of March each year.
4. A second late notice with an additional $25 late fee for the next month will be sent out by end of April.
5. Homeowners still not paid by end of May will be sent to lien or collections with legal fees, filing fees, and all late fees added. This amount could be upwards of $500 total, so it is best to pay your dues on time each year.
6. Any lien not paid after 3 years will have foreclosure commence from the HOA legal firm.
As a reminder, the restrictions allow for a MONTHLY $25 late fee, so unpaid dues continue to accumulate. For example, an unpaid dues balance of $150 could receive $300 in annual late fees, and after 2 years be $150 + $600 late fees + $250 or more in legal and filing fees = $1000. So please let's be on time with our dues payments!

Note that these may change over time as prices increase or another towing vendor is selected.

1. Monitors and responds to emails from website link. Distributes issues to other board members as needed.
2. Owns bi-monthly board meetings. Creates agendas one week ahead of meetings and distributes to board
members. Leads bi-monthly meetings.
3. Coordinates annual homeowners meeting in November. Leads annual meeting.
4. Can approve small disbursements from account. Any item over $250 needs board approval.
Secretary
1. Takes notes at all meetings and posts official meeting notes to website and stores for future reference. The meeting notes from the meetings are the way that actions are taken by the board, so proper storage for these notes long term are vital to board activity in the
future.
2. Creates and distributes periodic (annual, semi-annual, or quarterly) homeowner newsletter.
3. Types up needed violation/informative letters to mail to residents.
Treasurer
1. Transfer account over to new treasurer. President also on account as backup. Address for account is post office box (POB) for neighborhood, so no address change is needed.
2. Checks POB at least weekly for bills/mail. Pays bills by due date.
3. Logs bill payments into check register and keeps balance updates.
4. Updates budget yearly and tracks deposits and withdrawals against budget. Posts budget to website quarterly and presents results annually at annual homeowners meeting in November.
